the infographic you’ve presented clearly showcases how project management training can lead to enhanced project success rates. the statistics you’ve included, such as the increase in completed projects and the reduction in failed projects, provide a solid case for the value of investing in training. it’s impressive to see the tangible results that organizations can achieve by equipping their teams with the right skills.

your discussion on how training impacts project performance, team morale, and communication is spot on. it’s evident that well-trained project managers contribute significantly to the overall efficiency and effectiveness of projects. your emphasis on continuous learning and its positive impact on an organization’s bottom line is a takeaway that i find highly motivating.

i appreciate how you’ve put together this information in a visually engaging way. the infographic tells a compelling story that speaks to both project management professionals and businesses alike. your article serves as a reminder that training is not just an expense, but a strategic investment that yields substantial returns.

thank you for sharing this insightful infographic and shedding light on the transformative power of project management training. looking forward to more informative and visually appealing content from you in the future!

comment on financial periods in p6: are you using this feature? by david cumming //www.deco-dalles.com/financial-periods-in-p6-are-you-using-this-feature/#comment-102095 mon, 29 may 2023 14:50:59 +0000 //www.deco-dalles.com/?p=54257#comment-102095 in reply to marvin woods.

hi marvin,

if you’re on a standalone version of p6 you can see them as per the video, on the admin menu.

once in there, click on the financial period calendar you want to change, and click the modify button.

once in there, assuming you know the periods you want to add – change the batch start / end date and click create. p6 will add them on.

@michael – great video, i’ve just pointed someone to it!

try using a filter to specify the exact activities you want to either add as new entries to the baseline or update the original baseline dates.

i like to use a user indicator column to pick the activities i want and filter on that.

it is of course best practice to take a copy of the original baseline, just incase you mess it up!

in others words critical path the same longest path if the project no delayed (extension of time than approval schedule)

1. cr 23 is approved and impacts 5 activities (3 already in scope but shifted right a month, and 2 new scope added).
2. in the current progressed schedule (u5 in the article) i forecast those 5 activities in accordance with cr 23.
3. [maintain baselines] —> copy current baseline (which has all approved changes incorporated prior to cr 23) —> rename copy with current date and “ cr 23” so i know what’s in that bl.
4. [update baseline] and *the key* “specify the activities to include” only include the 5 activities in cr 23 using an applied activity code (cr number) filter.
5. [assign baseline] to make the new bl with cr 23 the new project baseline.

this maintains no actual progress in our bl, maintains a consecutive history of all approved crs applied to the bl, and doesn’t change anything in the bl except those approved changes. so the other fc changes remain in fc space and show a variance to the approved bl (which does have other approved changes incorporated).

it’s worked for us pretty well over the 5 year life of our project and supports our ev system and monthly variance analyses we do. any thoughts or comments or questions?

erratum.

excusable, means the project can be delayed because of events not in the control of both employer and contractor.

therefore, both employer or contractor cannot claim for any damages due to extension of time.

yes. the diagram above is seen from the project timeline perspective.

excusable, means the project can be delayed because of events not in the control of both employer and contractor. therefore, both employer or contractor can claim for any damages due to extension of time.

non-excusable, means no excuse for the project to be delayed, and that either both the employer or contractor shall compensate the aggrieve party, subject to the agreed amount of damages incurred on each party. it is usually extension of time, or penalties/claim. if the aggrieve party is the employer, and he does not want to extend the time due to some reason, he may request the contractor to accelerate the work by crashing, increasing more labour force, and/or increasing more shifting in avoidance of liquidated damages from the employer.

when the delay becomes non-excusable, the project states that either the employer or contractor is on default, and the aggrieve party reserves the right to be compensated. if the contractor delays the project as per his duties and responsibilities, the employer receives liquidated damages, i.e., 0.1% of contract value up to maximum 10% of contract, or as per stated in the contract.

if the employer defaulted his duty and responsibility, i.e., payments, access to sites, drawing & finishing approvals, the contractor reserves the right for extension of time and compensation. the challenge is to receive the compensation as it needs proof to be compensated. the proof is to show the critical path and activity to when and the duration it was delayed, and the affect of that delay to that particular activity. you may then look at your boq general requirements/preliminaries as basis of your calculation. it is wise to work on item per item in your preliminaries to identify what is affected. an example of your proof are as follows: salaries of staffs in charge of the operations. as for rental cost incurring during the delay, it is advisable to provide the employer of the day works for all the labours, driver, and staffs per day wages, and daily rental cost of all that equipment being used at site, to include the following but not limited to: scaffoldings, truck and bus rentals, cabins rentals, equipment and tools rentals, and even the accommodation of labour camp rentals can also be included.

above all these, the contractor should send the daily report list of activities happening at site for future claims and reference.

i would agree with ali hosseinian.
updated schedule could have significant delays that might not be approved by the client. mixing scope change would bring “twisted picture” of the target…
add on the top of this that scope change takes often long time to be approved, and during that period we need baseline to monitor the progress.

also i wish there was an import feature for “taking in” the resource spreads to specific time period windows rather than p6 performing a uniform spread. when you’re dealing with some unknowns in the project initiation stage (usually the beginning of every financial year) it would be handy to allocate the resource spread / cash flow for the month (its not uniform for the year) from an excel.

my department (i work for a govt agency in australia) has 125 people working on 45 projects (small to medium). so i would like to allocate the resource spread in a top down way and split their allocations for each month. for example person 1 works for project a, b, c, d and only if i could split his allocation for 12 months in a non uniform way. i.e. performing bucket planning using excel and load the data to p6. wish there was a feature for this import

thanks! i’ve had some other feedback on this by way of linkedin. looks like my view on this is too narrow. while i’m not advocating for use of “update baseline” – using a current progress schedule and rebaselining with crs isn’t the right way to go about it either.

hi ali,
i agree with your concern, i always follow michael’s advise but disagree this time. what if the past few months you had delay, by doing what michael suggesting, you eliminate all your delays just because of a change request. what i would do is i restore the baseline and add the new activities (scope), and take it back to the baseline. this needs more time and effort but to me is more accurate.
thanks,

hi cindy, thanks for your comments here. yeah expected finish has it foibles like everything else. i have been burned by having activities pass their ef dates and earlier versions of p6 would choke slightly on this.
one trick i use is to put the expected finish column up so i can easily find them and manage them.
i agree somewhat that using remaining duration avoids ef issues. but of course, with rm updates you can have non-work days you’ve forgotted about and you can get the rm wrong as well. in the end, we all do our best and work the way that’s best for us.

how about this scenario. a construction activity is started and given an actual start date. instead of throwing a dart hoping to come up with some imaginary expected finish date, you find out from the source how much longer its going to take to finish something. if somebody can guesstimate a date, they can guesstimate a duration. expected finish dates are easy, sure but sometimes – most times – laziness is not the way to approach an update. also, why not move the data date before you update? then the can tell you when and just adjust the finish date and remaining duration will automatically update. if someone tells you they will finish on whatever date and you drop that lug in, everytime the data date moves the remaining duration automatically reduces and appears that work is tracking. what if it’s not? what if zero progress has been made? is it possible, do you think its possible, that activity, due to lack of progress is now actually critical? you would never be able to tell because remaining duration is depleted as time rolls on. when in actuality, they still need x days to complete it.

and for all the time you claim will be saved by updating this way, you’d end up spending way more just to track down all of those surpassed expected finish dates and the results you will be publishing are just a fabrication.

move the data date before updating, adjust the finish date or change the rd. as the data date changes and as the work continues to make no progress it will still show they need x days to complete it.

in my mind (i’ve been a scheduler for over 22 years) the only time it would possibly reasonable to us an expected finish date is on things that have a set duration. procurement, design maybe, other than that it is totally unnecessary and in the end will actually take more time to deal with than figuring out 3 weeks on a 5 day calendar is 15 days. a constraint is a constraint and there is no where i have i ever heard it said that the more constraints the better.

just do the work. that’s what they’re paying you for.

the formula syntax, in your example would be, at its simplest, =networkdays(e9,f9,1) and so forth copied all the way down, which would exclude saturdays and sundays (the 1 in the formula string) – there are 16 other options in excel but most popular would be “1” to exclude sat/sun, “11” to exclude sunday only and “17” to exclude saturday only.
in addition to excluding weekends, the formula string can be extended to include a determined range of dates somewhere on your workbook which lists all public holidays also to be excluded from the calculation

i have gone on to try to get a count of the number of instances. i have done this by including the “activity relationship count” field under columns. under “group and sort” “show grand totals” is ticked and group by is “total” and on the next line “project”.
this seems to work well initially giving the total value i am after, but once the report is saved and the report is re-run then the “project count” cell is left blank.
if you could give any suggestions to a solution, that would be most welcome.

1) an example is: start an alap 20 d. draft report before you “finalise a report”, then have the last input / predecessor driving the “final report”. this way you don’t use ff relationships with lags , logic is clear to engineers that see pdf plans and criticality remains through your last input your need. it is like an alarm for them.
2) a lot of times consultants will start working on something much earlier than planned because they are waiting for data on something else. by doing so, they want to bring future activities forward, show progress or budget spent to the client, without breaking logic, or mess around with the critical path for when they can have the last predecessor/input of an activity. adding an alap shows this work and maintain the logic.

in regards alap shown on the longest path, i “solved” this by having a filter to temp remove the alap constrain, just before i reschedule and plot longest paths, then apply it again.
fiddly but effective.
also having (alap) on the name of the activities helps with non p6 users to understand why this activity has 0 tf when they see a pdf

all this, of course, show a project that keeps changing; more agile (which are the projects i have worked on) and it may not be appropriate for many other projects.

in order to reveal a record deletion you will need to directly access the sql database. almost all tables have the following fields:
create_user (record created by)
create_date (date record was created)
update_user (record last updated by a specific user)
update_date (date record last updated)
delete_session_id (if a record has been deleted, it will show the session id*)
delete_date (date the record was deleted)

*the session table will have the history of all sessions by session_id, the user name for that session, and the session_start and session_end date/times.

the f9 will update/overwrite most of the date fields in the task table:
early_start_date
early_end_date
late_start_date
late_end_date
and all of the “internal” start/finish dates

hope you are good.

i have project (really big) and i need to set up a filter to see only activities that are on data date. without certain timeframe like dd-1m or dd+4m. as there are a lot of activities that have long duration as well as short duration. for example: if i put filter dd-5m and dd+5m this will also show what are ending (or starting) less than this period.
how you can help me to set a filter only for activities that are exactly on data date? all that started before and all that will finish after; basically all activities are currently go through the data date.

thanks a lot in advance.

bet regards

john – i do know what i’m talking about but i’m not sure you read it correctly. the monte carlo algorithm does random sampling each iteration and plots the result as i’ve described above. this taken from palisade[dot]com, maker monte carlo risk analysis tool @risk:

“during a monte carlo simulation, values are sampled at random from the input probability distributions. each set of samples is called an iteration, and the resulting outcome from that sample is recorded. monte carlo simulation does this hundreds or thousands of times, and the result is a probability distribution of possible outcomes.”

i can think of two actual methods (not practicle at all) but i am going with the flow here:

1- the curing time to be added to the concreting activity- the problem here is that it wouldn’t represent the actual 世界杯时间比赛时间 moving from one foundation to the other. they would pour concrete then move on to the next foundation not waiting for it to finish curing. plus, you can’t have a fs relationship (preferred relationship) nor can you do it without a lag (as it would be a ss relationship plus day/hr lag).

2- add in activity called curing time.. this will overload a schedule with useless activities, a schedule should be manageable. populating a schedule with curing time constantly is not a wise idea. ive worked on a projects where we were solely assigned to do over 3000 foundations in an oil and gas project. imagine if we had to add curing time as an activity. the schedule just becomes over populated with no added value.

you may argue that pouring concrete activity description is bad scheduling practice because the description should be replaced. however, in every organisation that i’ve provided planning support to has a breakdown to show pouring concrete as a resource and with that we are able to provide real estimates to the concrete batch the qty we will need on given days. thus, the use of small lags are inevitable..

so in short, lags are not replacements for activities but in cases of small lags like curing there isn’t a better representation. i am very keen to see how you would represent curing time.

with all schedules rationale and logic should be applied to represent a true picture of how the work is to be executed. over populating a schedule makes the control schedule uncontrollable and less productive.

the best adjustment will be replacing the current fs logic to ss/ff+lag to maintain the integrity of the sequence of work.

no you should be able to edit budgeted or actual costs even if the activity is completed. are you importing costs at the assignments level or at the activity level? resource assignment costs (if they exist) tally to the activity level cost.

in p6, i have used 12hr 7day work week calendar 6.00 am to 5.00 pm (with 1 hour break so productivity is 11 hrs per day). so when i add a new activity in the schedule with 1 day duration, it shows correctly as i.e duration 1 | start 20-jun-20 6.00 am | end 20-jun-20 5.00 pm. which is correct, however, we i increase the duration to 2 days (or more), it shows me as duration 2 | start 20-jun-20 6.00 am | end 22-jun-20 8.00 am. i’m confused. any idea why is that? ideally it should be (if it is 2 day duration) start 20-jun-20 6.00 am | end 21-jun-20 5.00 pm right?

appreciate your support and response. big help.

i would engage a claims consultant to help you with these questions. mainly covid 19 will be handled as a force majeure type of delay. compensability will have to be analyzed.

i am a subcontractor. the ownership of as hotel hired us directly . the owner of the hotel has also hired a construction crew management team which hires 90% of all the other trades. the construction has been delayed and in turn has not allowed my company to work as planned for our installation of the finishing items we install. the construction crew has cancelled our truck delivery last minute, not released full qty of rooms as promised and informed us last minute(day of install), etc. the ownership in who we have a contract with is who we will be seeking compensation from. we are half way through the project and have been operating at 35% of capability and planned. we are over budgeted at this point and the owner is asking us to increase man power to catch up to the original scheduled date. any suggestions?
also..where does the covid 19 situation delay of schedule come into play?
since the covid 19 we have been asked to only allow 1 man on elevator at each time when we typically have used 4 to 6 people per trip…we have a fast delivery system of product that has been hampered. the formal direction is for our crews from ownership is now to stay 6 feet apart (social distancing) while we work now. the usual team is shoulder in shoulder to accomplish the goal on time. is the covid-19 delay compensate-able ..if so how and by who?

if they are on the critical path, how do you know they are not critical and need to be removed? seems like maybe you have your own definition of critical path.
you don’t remove activities from your critical path. if you have incorrectly linked an activity, and it shows up on your critical path, then correct the links. but accept that all activities on your critical path, are critical.

forgot to mention that obviously the same filter criteria outlined above also applies for differing relationship types i.e. ss, ff, sf etc as well as being able to be utilised within the successor details column if desired.
you should also ensure that your activity id numbering convention doesn’t use any of the aforementioned nomenclatures’.

you can actually filter for the lag in the relationship details columns, the key is ensuring that you use the correct nomenclature

to find predecessors with +ve lag use the following;

display all rows parameter is value high value
(any of the following)
where predecessor details contains fs 0
or predecessor details contains fs 1
or predecessor details contains fs 2
or predecessor details contains fs 3
or predecessor details contains fs 4
or predecessor details contains fs 5
or predecessor details contains fs 6
or predecessor details contains fs 7
or predecessor details contains fs 8
or predecessor details contains fs 9

to find predecessors with -ve lag use the following;

display all rows parameter is value high value
(any of the following)
where predecessor details contains fs –

thanks a lot for your quick response michael.
actually there are not partial durations : however, the summerized original duration in case of 8hr/5day calender related actvities are partial at wbs level since the project default calendar is 24hr/7day. moreover, the partial caculations can be seen only for total float and free float of activities having 8hr/5day calender.
also, i set calendar time periods according to employer request and general specifaction documents so i do not think it would be possible to change those settings.
again thank you so much michael. thanks to you i could improve a lot and learn new things.

sarah, this is not a good approach. since you are using 2 different calendars, you would definitely expect to see partial total float & partial free float. these shouldn’t be a concern for you – why would they be a problem?
you can easily correct your partial durations however, but checking your calendar time periods are properly set before you enter in durations.
i would advise you to remove those lags – lags are not encouraged in schedules as they are often used to “hide” time.

many thanks for your post.
i have to use multiple calenders (8hr/5day and 24hr/7day) assigned to different activities in different wbs levels. so when i link the activities, primavera calculates the free float total float and orginal duration in decimal numbers. i have tried to slove this problem by assiging lead/lag or setting the start date of each calender the same hour (starts at 8 am). although it gave me the exact number, i am not sure if it is correct to solve the problem by using lead or non-logical working hours. i would appreciate it if you could help me with this.
thanks

hi niharika. certification 1z0-567 is for p6 version 8. but p6 is now on version 19, so in my opinion it’s very out of date. if you want to become a primavera p6 installation specialist, then maybe 1z0-1057 is an option. if you want to become a planner / scheduler who uses primavera p6, then i recommend you take a training course, either from us or someone else. you can also look at the planning & scheduling professional certification from aacei.

there’s no way to tell until you make the change and verify the results. it all depends on the duration of activities involved in relation to how much lag is added.

now this file becomes your template. when importing updated data back, make sure again you check all 5 checkboxes again. this will ensure you don’t duplicate data on import.

here’s a suggestion to fix the issue:
cause
this is an issue with excel where cells are not formatted as text.
the cells in the file are formatted as general, not text.

solution
1) add a leading apostrophe (‘) in the cell at the beginning of the number.
adding the apostrophe (‘) changes the format to text.

2) change the excel format to text using the drop down from the right-click format menu.
changing the excel cell format to text using drop down is not actually changing the cell format to text.
it only changes the style of the excel cell.
it is also necessary to edit the cell (by double clicking the cell) after selecting the format from drop down to actually change the format.
if changing the format using the drop down then we don’t have to add an apostrophe separately.
but as it is an issue with excel, we have to double click the excel cell after we have changed the cell format to text via the drop down.

note: the above 2 solutions can be tedious if there are hundreds of rows and many columns to be updated.
adding an apostrophe or having to double click in each such cell could require much additional effort.

3) there is another quick formatting option as well for bulk changing of cells.
you can select the entire column –> go to data tab, in data tools select text to columns –> click next with delimited selected –> uncheck all delimiter check boxes and click next –> select text in the column data format section and click finish.
this should format the entire column as text.

i can’t tell without seeing the network, but it’s not difficult to figure out.
1) determine how many paths there are through the project from the 1st activity to the last one.
2) add up the durations of the activities on each path to calculate the total duration of each path.
3) the longest path is the critical path.

could you help me with this:

i need to import the budgeted units; in my excel file, i use two decimals separated by a comma, for example, i have 155,57 hours.

but when i do the export process primavera load my data as 15557 hours.

so, p6 gives me this message error “budgeted units mus be between -9999999999,00 and 9999999999,00

i’ve tried change between comma and point in the currencies option but i could not correct this mistake.

web certainly continues to improve, as does the infrastructure required to keep it running – as organisations look to lower costs of ownership, having a tool that doesn’t require a localised install (or large citrix estate) is an easier sell.

two bits of functionality that are great in web:

1 – filtering. just type it in, web filters it down as you type and searches across all fields.

2 – dcma schedule checker

plus, with no java in latest versions, it’s one less concern

keep up the great work michael and team

thank you for your reply, i will.
curiously, reports on project baselines can loop through all the bls and are able to tell to which project they are assigned, even if those are closed. i had high hopes that p6 could do the same with codes!
but anyway i’ll go and do a bunch of tries now, thanks 🙂

yes, it is a good idea to keep the contract milestones on their dates with a “finish on” or a “finish on or before” constraint.
you can minimize the confusion by keeping the key milestones at the top of the schedule as we suggest in this article.

it becomes extremely confusing when there are 3 different calenders with 2k activities and nearly 4k links

michael, i agree with you, but i’m curious what you mean by “when a sequence of activities do not fit fully under a wbs header”. wbs should be able to capture all activities based on the 100% rule.

if activities on your activities screen are “greyed out” – that means that you have “cut” them (as in cut & paste), but have not pasted them. if you tap esc, they will no longer be greyed out.

imposing a “must finish” may not be a good idea. check the links and see if the procurement activity is linked to corresponding construction/installation activity or not. if no such a logical link exists, create a link and record this schedule change with the reasons for introducing this.

then may be the ” procurement activity” will show it’s impact on the programme and hence a negative float.
